There are three main things to consider concerning publications and the NIHR ARC OxTV:

  1. Your obligation to acknowledge the NIHR in your publications
  2. You obligation to notify the NIHR ARC OxTV team of accepted publications and press releases
  3. The NIHR Open Access Policy

The NIHR requires all publications by ARC supported researchers, not just those projects which are ‘ARC projects’, to include the funding/support acknowledgement.

If not included, the NIHR will not count any publication as part of the ARC's outputs – used by the NIHR and Department of Health and Social Care to measure our progress and make future funding decisions – that does not in some way acknowledge us, either as “This study was supported/funded by…” or “X Person receives funding from…”.

The NIHR also reserves the right to take back funding where these obligations have not been met, especially in instances where a new paper has led to publicity.

As such, including this acknowledgement is hugely important.

It’s important to note that the ARC doesn’t want to take credit for a project it hasn’t really been a part of, only that it is acknowledged where it has in some way assisted/contributed something to that work. For example, through funding a portion of your salary. It doesn’t necessarily matter if a project/write up is linked in any way to a specific CLAHRC project/theme or not.

This is so we can demonstrate to the NIHR the whole value of the ARC (not just the value arising from its listed projects).

Accepted publications

ARC Oxford and THames Valley is contractually obliged to provide a copy of papers/articles acknowledging the ARC to the NIHR Central Commissioning Facility (CCF) 28 days before they are due to be published.

We appreciate that this is not always feasible or possible to give 28 days notice, for example in the case of expedited publications (e.g. The Lancet's fast-track process). However, in such instances the ARC must notify the CCF as soon as this is known.

Please send your draft publications to the generic ARC email address arc_oxtv@phc.ox.ac.uk and we will pass them on to NIHR CCF for approval.

Detail to include:

  • Copy of the accepted manuscript
  • Journal name (occasionally this isn't present in the manuscript)
  • Planned publication date if known (otherwise please update us once it is known)
  • Whether or not any publicity is planned (see press releases below)

Note: Researchers employed through the University of Oxford are required to deposit accepted manuscripts (final peer-reviewed version) into the ORA repository within three months of acceptance. For details of how to do this, visit: openaccess.ox.ac.uk/home-2/act-onacceptance

Press releases for publications:

Some publications may result in press releases, either from departments, institutions or the journals themselves.

It is imperative that the ARC and the NIHR CCF are notified of the intention to issue a press release.

A draft press release or media materials must be sent to the NIHR CCF at least 14 days before the planned issue date, including any press releases to be issued by the publisher. All embargoes will be respected by the ARC, NIHR and the DH.

Please contact the communications lead (gavin.hubbard@phc.ox.ac.uk) copying in the generic ARC email address arc_oxtv@phc.ox.ac.uk and we will pass them on to NIHR CCF for approval.

Other publicity or media

In the event that there is any other publicity or media attached to your ARC related work, please let the ARC core team know as soon as possible. 

We may even be able to help, for example by providing media training, support for public engagement events, funding, and so on.

IS OPEN ACCESS REQUIRED?

Yes.

The Department of Health and Social Care and the NIHR require that NIHR-funded researchers seek to publish their research outputs in a peer reviewed journal that is compliant with the policy on Open Access (see link below).

HOW TO COMPLY:

The NIHR Open Access publication policy was updated in June 2022, and can be found here.

This policy applies to all peer-reviewed research articles, including reviews not commissioned by publishers and conference papers, submitted for publication on or after 1 June 2022 arising from:

NIHR Programmes, NIHR Personal Awards and NIHR Global Health Research Portfolio: research studies where the research costs are funded in whole or in part by the NIHR. Personal awards that do not fund research are out of scope of this policy.
For NIHR Infrastructure (including NIHR research units and schools): research studies where the majority of the research costs are funded by the NIHR.

IS FUNDING AVAILABLE?

Yes.

The ARC Oxford funding processes allowed costs for one open access publication to be included in the application up to the value of £1,500 per publication.

If an ARC project requires funding for additional open access publications, please contact the ARC Programme Manager via the ARC generic email address (arc_oxtv@phc.ox.ac.uk), attaching a copy of the paper.

Funding for each additional publication will be reviewed and the researcher notified of funding within five days of receipt.
